Position ~ Personal Assistant to the President of Group of Companies

DUTIES

Reporting directly to the President. Provides executive and administrative support to the President.Serves as the primary point of contact on all matters pertaining to the President.
Dealing with daily correspondence, incoming and outgoing emails and phone calls.
Assist the President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, arrange travel plans and compiling documents for meetings.
Reminding the President of important tasks and deadlines.
Managing and organizing meetings and appointments, often controlling access to the President.
Drafting all official correspondences on behalf of the President.
Compile letters, notes, memos, documents and other items for the President.
Implementing and maintaining procedures/administrative system.
Maintaining and managing databases and office filing system.
Maintaining inventory and purchasing office equipment’s and stationaries.
Liaising with staff, supplies and clients.
Performs any other duty assigned.


REQUIRED CRITERIA

Diploma/Degree in Administration. Recognized secretarial qualification is essential.
Minimum of three (3) years’ experience as personal assistant to the Director/President of a manufacturing company will be an added advantage.
Competent in handling large amount of administration and managing competing demands.
Discretion and trustworthiness. You will often be part of confidential information.
Flexibility and adaptability.
Excellent verbal and written communication.
Strong organizational skills and the ability to multitask with excellent attention to detail.
Ability to work independently and with professional discretion.
Ability to make strong decisions under pressure.
Solid knowledge of office procedures and customer experience.
Excellent management, time – management and problem -solving skills.

Position ~ Stores / Procurement Personnel

DUTIES

Receiving raw materials, count all materials and mark the date received. Record in separate sheet all the broken materials and produce the report at the end. Preparing Goods Received Note (GRN).
Locate materials in specific area/unit.
Preparing Requisition Note (RN) whenever raw materials are being picked from inventory/warehouse and used in production.
Preparing Goods Transfer Note (GTN) between production and warehouse or branches and warehouses.
Preparing Goods Delivery Note (GDN) when dispatching goods to customers.
Updating stock database (in computer system).
Receiving and recording items purchased on daily basis.
Counting all units produced on daily basis and record on the stock sheet.
Prepare daily, weekly and monthly report for the raw materials and finished units.
Ensure units dispatched to the specific storage location.
Prepare Goods Delivery Note (GDN) and necessary documents from the driver (Driving license, vehicle registration card etc).
Issuing gate pass for the driver and the gateman.
Do verification against your database for any loss.
Report for any loss and your findings to the head of Department.
Constantly assessing the local market, seeking product and supplies that offer the best value of money and negotiating prices in order to guarantee the best quality for goods and commodities.
Perform any other duty assigned by your supervisor.


REQUIRED CRITERIA

Diploma/Degree in Procurement/Supply Chain Management.
Ability to perform multiple tasks and work under pressure.
Ability to work independently with minimum supervision.
Previous working experience of two (2) years in a manufacturing industry will be an added advantage.
Strong knowledge on Standard Operating Procedure (SOP) for Stores Department.
Team player.
Adaptability and flexibility.
Customer care experience will be an added advantage.

JOB REQUIREMENTS

Sales and marketing skills.

REQUIRED CRITERIA

Certificate /Diploma in sales and marketing, Vocational Certificate.
Preferably in Electrical Installation (VETA, DIT or any recognized institution).
Experience of one year in sales and marketing.
Excellent customer service skills.
Self – motivated and result driven.
Strong attention to detail.
